Active Email User (AEU). How does it work?

AEU gives you flexibility in the way emails sent outside your office are charged

We use the term AEU (Active Email user) for that user who is able to send emails outside the office.

Our software would check if the correct amount has been credited into your account to consider the person as an AEU during the time when the email is being sent.

There is a sophisticated software module working in the background that ensures that the payments made to set users as AEU, are properly utilized.

AEU from your point of view As far as you and your users are concerned; the user would go to the mailer section of the server; type some email to be sent. Then when the user clicks on the Send button; it will check if that user is currently being considered as an AEU (Active Email User) as per the balance credits in your server; and if so, off goes the email!

If not; it will save the typed email in the drafts section and inform you why the email cannot be sent.

What to do when sending emails are not allowed? Credit your account with the correct no of Koyns for the AEU functionality! That is all that is required to return back and resend an earlier email which was placed in the draft folder.

The duration of the activation is counted from the first email that is sent by the first activated email user. Users can be activated in sets of 1, 5 and 10 users (all the current options are mentioned in the pricing page) Each such activated user can have a different duration. And these users can change from time to time too. So if someone is on a holiday; you need not count that person during that holiday period. Of course we assume that the person does not send any emails from wherever the person is holidaying!

Admin controls The admin can also block some users from sending emails -- and that can be reconfigured anytime by the admin. This also means that you can have any number of users using your server but only a few are set as active email users (AEU). AEUs are NOT automatically recharged once the time duration of the AEU is completed. Your account should have enough credits to pay for each active email user for the required duration.

Activation of a user as an AEU is on a first-come, first-served basis in your office after due payment. Read the example below and you will understand how it works. It is quite simple. Example of how AEUs work Let us say that you pay for a set of 5 users to be activated as AEU. Then the first user in your office who would send an email would be automatically become one of the five in that set. Then the next user who sends would claim the next seat in the set and so on. All the settings happens automatically.

The first email sent would also determine the duration of the activation for all the users in that set.

Let us continue with the example for clarifying this: Say you bought a 5 user AEU set with a duration of 30 days on August 1 but nobody sent emails on that day. No worries, the clock would not be started.

Then someone (Mr A) sent an email on August 3. So the 30 day duration would start on August 3. The clock has now been started. Hence that user and subsequent 4 more users (B,C,D,E) would be allowed to send emails till September 2.

Note that if Mr E happened to send his first email on Aug 30 then he will have only a few days left (till September 2) where he can continue emailing.

If now Miss F wants to send email on Aug 31; then the same AEU set cannot be used as all the users in that set has been finalized. That means money paid for an AEU for that AEU's duration cannot be transferred to someone else in the same period; once all the users allowed in that AEU are set.

Other ways of activating emails We decided on this form of charging as we found that would be the most fair method for both you and us. It gives you the maximum flexibility too.

Please note that we do not restrict the number of emails that can be emailed. Also note that the process of determining who is allowed to send emails out is done automatically. As far as as you are concerned; you are simply crediting sufficient amounts into your account every once a while.
