Your server has some special features that are not available in other systems

Your server has some special features to help manage your team's emailing

  1. Each email sent and received automatically becomes cards in the user's personal project. So in case that email needs to be moved or copied to a project it becomes very easy -- and then the user can then move such cards across the columns of the kanban board.

  2. BCC's are not allowed. But a BCC capability can be switched on after a onetime payment for each user who may need it.

  3. If any office user gets a BCC email (where the BCC functionality is not allowed), an email is sent back to the original emailer asking the person to send the email separately stating that "this email system does not accept BCC" Also, the admin gets a trigger saying that such an such person (the "from" address) sent a BCC email to somebody in the office. This can be useful to forewarn the admin about gossip and undercurrents.

  4. Attachments are simply not allowed . This cannot be reconfigured. If you do want to send an attachment, upload the file/s to an external file-sharing system and enter the link into your email.

  5. Emails sent to each other in the same office are directly deposited into each other's mailboxes -- without being sent via the regular email route. BCCs are simply not allowed for this functionality.

  6. ALL "to" and "cc" email addresses are automatically collected into the contacts of the user. Each user can use his/her own contact list as well as the contacts of all the members of the group he/she belongs to. Groups are created in the Kanban system.

  7. Statistics on how many emails were received, how many were sent, and how many received emails were replied to, and how many emails "cards" were moved in the Kanban system are all available to the admin. Also if the received email was actually opened by the user.

  8. Admin can also configure a special "pixel" that gets inserted just before sending any email, so that later on it can be used to track if the other person opened that email. All such statistic could give the admin a clue on how the office employee is efficiently using the email system.

  9. Admin can set a common signature for everyone in the office.

  10. Rules can be set by admin to make a duplicate of the same card in other projects Kanban boards and not just the user's own Kanban board -- This can be useful to quickly manage projects. For example; a civil engineer's office may send emails regarding a specific project and the office now needs to act on that project quickly so the fact that the email lands up as a card directly in the Kanban board of that project makes it all quite fast.
